Creating Public Holidays

Overview

Public holidays need to be specified in Compass as non-teaching days to ensure classes are not scheduled on those days.   Because schools in different locations will observe different public holidays, setting public holidays is not automated.

Permissions

Staff will need the "AdminTools" and "Configure" permissions to access the Configure Schedules page in Compass. For further information, please refer to the Knowledge Base article titled "Permissions".


Setting up Public Holidays in Compass

Navigate to the Tools menu (cog icon in the top right corner of the Compass portal) and select 'Administration Tools'.  Click 'Configure Schedules". Ensure that you are viewing the correct year using the drop down box as highlighted in the screenshot below.
    


Click on 'Period Structures' in the 'Steps' column on the left of the screen. Next, click the calendar icon for the applicable period structure you are adding the Public Holiday to.
     


Here you will see all teaching days (highlighted in blue) and any public holidays which may have been previously set up (highlighted in green). Any non-teaching days (eg, weekends, school holidays) will be white.
     


To make a certain date a public holiday, locate the date and click 'Make public holiday'.
     


It will update and show as green to indicate it being set as a Public Holiday.
     


To remove the Public Holiday setting for a date, click the 'Remove Public Holiday' option.
     


Compass recommends creating all public holidays for the year in advance (where possible) for ease of daily schedule management.
Once the public holidays have been created in Compass you will need to re-run your schedule or timetable in order to apply these changes to users' schedules. See below for specific details on this process based on how your classes are created in Compass.

How to run Schedule Builder

If your school uses Schedule Builde (e.g. most Primary Schools and some P-12 schools) you should navigate to the Teaching and Learning menu (Pencil icon) and select 'Subjects and Classes' from the drop-down menu. Click on the 'Schedule Builder' tab across the top and click the name of the current schedule template to open it.  Typically the current template is named for the current academic year.

To run Schedule Builder click the 'Save and Generate' button at the bottom. 
Please note: Adding public holidays will only affect dates that are in the future. If the dates have already passed you will need to cancel the classes manually using Compass' Daily Organisation module.

For more information about removing sessions please refer to the Knowledge Base article titled "Daily Organisation", specifically the section titled "Cancelling and Reinstating Classes".
Please keep in mind that running your Schedule Builder is required in order to remove any future sessions which had previously been scheduled for the public holiday.

How to Import Timetable Lines

If your school uses a third-party timetable package (e.g. most secondary schools and some P-12 schools), be sure to run an import of your timetable into Compass. If your timetable package requires the use of the Data Sync Tool only the Timetable Lines import needs to be done, if you've previously imported the rest of the data. 

Please note: Adding public holidays will only affect dates that are in the future. If the dates have already passed you will need to cancel the classes manually using Compass' Daily Organisation module.
