Daily Organisation

 Overview

The Daily Organisation page provides the ability to view staff availability and to quickly alter session information, such as cancelling lessons, changing the teacher, and changing the location. Access to this page can be found under Organisation (grid icon) > Daily Organisation.

Schools that use Compass' Schedule Builder for timetabling will need to make all changes of this sort within the Daily Organisation page on Compass. 

Schools that use a third-party timetable program will typically import daily org data from their timetable every morning. They can use the Daily Organisation page on Compass if they are unable to import the daily org data from their timetable, though it will not write back to the timetable file.

     


A date selector exists on the top right-hand side of the Daily Organisation screen, which displays the current date by default. This can be changed by using the calendar icon so that a future or past date is selected. 


Permissions

To use the functions of the Daily Org page, staff will need the permission DailyOrgAdmin.

Dashboard

The Dashboard tab displays all of the changes throughout the school for the date selected. The Daily Changes section displays all changes made within Compass, as well as any that have been imported from a timetable package. 
     

This tab will only display the current daily changes - no changes are possible from the Dashboard tab.


Class Manager

The Class Manager tab is where you go to make Daily Organisation changes (e.g. lesson cancellations, teacher coverages, and location changes) within Compass.


Filtering Options:

Filtering options are available for finding specific classes and groups of students. It is also possible to select the status of either Running or Cancelled and then click 'Filter' to view classes with the selected status.
     


Changing Staff Members:

Changes to the staff member running the class can be made by clicking on the Teacher for the relevant class line. This will display a pop out which allows a new staff member to be selected. Once a new staff member has been selected, the new staff ID will display next to the previous staff ID - which will be crossed out.

     


Changing Location:

Similar to changing the staff member, clicking on the Location on the relevant class line will display a pop out which allows a new location to be selected. Once a new location has been selected, the new location will display next to the previous location, which will be crossed out.

If a school has purchased the Room Swaps module, the rooms will also appear with a red or green dot to display whether they are available or unavailable.
     


Cancelling and Reinstating Classes:

Classes can be cancelled by selecting the tickbox for the required classes and then clicking on the 'Cancel Selected' button. 
     


Reinstating a class is conducted in the same way, however the 'Cancelled' option will need to be selected in the filter above the table to display the cancelled classes.

     

To cancel all of the classes for a specific day, simply select all of the classes by using the very top tickbox and click cancel selected. You may need to expand the number of items being displayed in the table using the drop-down option at the bottom to cover the number of classes for the day. 

     

Staff Availability

The staff availability tab will display current staff schedules.  This is a view only screen, any staffing changes for the day need to be made on the Class Manager tab or via your third-party timetable imports.
