WA - Kiosks


Overview


The Compass Kiosk is a touch-screen unit designed for use within the school's administration office.

The Kiosk provides an integrated online terminal for student late arrivals and early departures, visitors to the school, PaperCut top-up and various other functions.

The Kiosk integrates with Compass, including updates to attendance information, emergency management data and the registration of visitors and contractors; this integration greatly reduces the administrative time required and alleviates the use of manual processes (i.e. sign-in/out books etc). 

Schools can also use CompassIdentity RFID-chipped staff and student ID cards for streamlined use of the Compass Kiosk.

The Compass Kiosk can be customised to best suit the needs and processes of your school.

Initial Set-up

When first setting up a Kiosk, it will need to be registered via a pin.  You will see this information on the Kiosk screen.

     

To register, take note of the displayed Pin, then in Compass, go to the Tools menu (cog icon) and select 'Administration Tools'.
From the list, select 'Client Manager'.  
Click 'Register Client' and choose 'Register Kiosk'.

     

In the pop-up, type in the Pin displayed on the Kiosk in the 'Pin' field.

     

Complete the remaining details and click 'Register'.  The Kiosk display will update to show data being initialised and load the standard Kiosk homescreen ready for use.

Visitor Sign-In and Sign-Out

The Kiosk enables visitors to the school to easily sign in and out of the school. This is particularly useful in terms of emergency management, as it provides an up-to-date list of who is on the school grounds, in the Compass Portal.

                                                               


Visitors are prompted to enter their WWC Card number, it will then be checked against DET records for validation.  If validated, the details will be included on the visitor register.  If it does not validate, they will be advised to speak with office staff.

Visitors will also be required to enter their mobile number for COVID-19 compliance and verify their COVID-19 vaccination status.

     


Please note: If you do not require the vaccination options to be included in your visitor sign-in process, please contact our Support team.


If you require parents to regularly check-in as visitors and want to provide them with a more simplified check-in method, you can have the 'Parent' visitor option enabled (please provide a written request to support@compass.education if you would like this enabled for your school).  The parent check-in process does not include the COVID-19 related visitor check-in questions.

     

Once visitors have completed the sign-in on the Kiosk, a Visitor's Pass will print, with the visitor's photo printed on it. This photo, and the sign-in information, will be uploaded to the Compass Portal. You can access the Visitor Register from the Community menu (people icon).

                                                                                      

The Visitor Register will document the photo of the visitor, the pass number, WWC details, COVID-19 vaccination details and the date and time of the check-in and check-out.

     

You can click the door icon to manually check them out if they have not done so via the Kiosk.  You can also update their vaccination evidence if required.


You can also filter within the Vistor Register and export if required.

     

     

If the visitor specifies who they are visiting, the Compass Kiosk will send an SMS to that staff member's phone, alerting them that the visitor has arrived.

To sign out, the visitor simply needs to select the "Visitor Sign-Out" button on the main screen of the Kiosk, then enter their pass number (located at the top of the visitor pass that was printed when they signed in).
 

Contractor Sign-In

The Kiosk can be set up to handle Contractor sign-ins as a different category to Visitor sign-ins.

                                                                

If a visitor is signing in as a Contractor, they will be required to specify the company they work for, and to complete an OH&S information screen.

The rest of the sign-in and sign-out process for a Contractor is the same as the sign-in and sign-out process for a Visitor.
 

Seminar Sign-In

If the school is holding an event or seminar, the Kiosk can be set up so as to pre-empt the signing in of guests. Once the conference is set up in the Compass Portal, it will appear on the day as a sign-in option on the Kiosk. 

                                                               

The Kiosk will then suggest names of attendees when signing in, and can display relevant information on the location of the function.
 
Visitor passes for Seminars will display the location of the seminar and any additional information (if entered in Compass).
 
To set up a Seminar in Compass, go to the Organisation menu (grid icon) and select "Seminars" from the drop-down menu. This will take you to the Seminars page, where you can edit and add new seminar events. 
 

Student Sign-In and Late Arrivals

Students can use the Kiosk to sign-in as a late arrival. The Kiosk will register the late arrival and integrate with Compass roll-marking systems.

A late arrival pass will be printed and this can be handed to teachers or co-ordinators. The Kiosk will also take a photo of the student, which will be uploaded to the Compass Portal, but not printed on the late pass. This enables staff to check that the correct students are signing in and out of the school.

The Kiosk can be set up to provide pre-determined reasons for late arrival, or students can type in their own reasons. The pre-determined reasons can be customised for your school.
 
                 


Student arrivals and departures are displayed in the Compass Portal. From the Organisation menu (grid icon), under the heading Student Management, select Attendance. This will display the dates and times of the students who have signed in and out of the school. Kiosk entries will display with a camera icon the the right of the entry. Double-clicking on the camera icon on the right will display the photograph taken by the Kiosk as the student signs in or out.
 
The Kiosk can also be set up to automatically assign students to a detention session when they sign in late. The Kiosk will then print out a detention slip automatically for each student who signs in late. For more assistance with this process, please contact our Support Team.

Student Sign-Out and Early Departure

Students can use the Kiosk to sign-out as an early departure. Similar to the late arrivals screen, the Kiosk can be set up to provide pre-determined reasons for early departure or can be set up to allow students to provide their own reasons.

                 


Early Departures that are processed through the Kiosk are also recorded in Compass, and can be tracked through the Attendance page. 

Parent Drop-Offs and Pick-Ups

At Primary schools, the student sign-in and sign-out options may not be appropriate. The Kiosk can be set up to offer Parent Drop-Off and Parent Pick-Up options instead. 

The parent will be asked to specify the student name, as well as their own name. They will also be asked to specify a reason for the pick-up or drop-off (these reasons are pre-determined in accordance with the reasons permitted in your school's state). 

                                                                  

The Kiosk will also take a photograph when Parent Drop-Offs or Pick-Ups are entered, so that the authenticity of the information can be verified.

The Pick-Up and Drop-Off information is then stored in Compass, on the Attendance page under the Arrival/Departure tab. Because these are essentially Parent Approvals, they appear as such in Compass. 

Please Note: If the setting to make the comment/details field in a note/approval mandatory is enabled for your school, parents will be prompted to do so on the Kiosk.

 

Find Student/Staff

The kiosk can be used to display the timetable or schedule of any user within the school. To display your own timetable, simply tap your card and select “My Schedule”. To view the timetable of another user, use the “Find Student” or “Find Staff” button at the top of the main screen.

Room changes or staffing changes are included in this information.

                                                                   
 
Students with Access Restrictions will automatically be excluded from Kiosk functions such as the "Find Student" option.

 


PaperCut Top-Up

The Kiosk integrates with PaperCut print management software, to allow users to top up their printing credit.

The Kiosk accepts cash payments, through the Coin Acceptor and the Note Acceptor slots on the front of the machine. A receipt will be printed to reflect the change in account balance. The Kiosk will display the current balance in the top left corner of the screen. This will automatically update the balance in the PaperCut account.

Compass Credit

For schools using the Cashless Canteen feature, staff and student accounts can be topped up via the Kiosk.

Student Accounts
To top up their Compass Credit for use at the Cashless Canteen, students need to swipe their student ID card at the Kiosk and choose the Compass Credit option.

     

They can view their current balance and then choose to top it up.  They can insert their coins/notes into the Kiosk.

If the school has the Wallet feature enabled for the Parent portal (please contact our Support Team via support@compass.edu.au if you need assistance with this), parents are able to top up their child/childrens' Compass Credit.

Parents need to login to their Compass account, under the cog menu icon in the top right of their screen they need to click on My Payments.
This will take them to the Wallet screen in which they can click on each of their children to view their current balance and from there can choose to top it up via a credit card payment.


Staff Accounts
To top up their account for use at the Cashless Canteen, staff need to swipe their staff ID card at the Kiosk and choose the Compass Credit option.  They can view their balance and top it up by cash or credit card.

     


Please note the Kiosk does NOT give change.
 

Order Photos

If your school uses Compass Photos as their school photography provider, the kiosk allows parents to use cash to purchase school photos. Parents can easily use the kiosk to place an order for school photo packs.

                

Encouraging parents to order their photos through the Kiosk, rather than accepting cash for photo orders at the school office, greatly reduces the administrative work in receipting the cash. This also ensures timely processing of the order, as the order will automatically be registered in the Compass system. 

All Kiosk photo orders will be sent to the school. If you would like the Kiosk Photo Ordering option to be turned on or off at your school, please let the Compass Photos Team know, and they will be happy to arrange this for you.

Please note that the Kiosk does not give change. 
 

TimeCard Module

The Kiosk can be set up with the Time Card Module, which allows for the management of staff leaving campus. Staff simply use the Kiosk to sign in and out when they arrive or leave school. You can even have staff use the Kiosk to sign in and out of the school for breaks or lunch, which results in an efficient and reliable time-keeping arrangement.
 
                                                               

To view Time Card information in Compass, use the Organisation menu (grid icon) at the top of the screen. From the drop-down menu, select Time Card: Report by Name, or Time Card: Report by Date.
 
Your school will need to purchase the Time Card module for this functionality.
 

FAQs


How will I know when the Kiosk is full and requires cash collection?

Our team remotely monitors the cash levels in each school's Kiosk and when cash levels reach a pre-determined amount, our team will be in touch to arrange cash collection. 
 

If I lose my ID card, can I still use the Kiosk?

The Kiosk can be set-up to accept manual log-ins, so that students or staff who have lost or damaged their ID cards can still use the Kiosk. Please note however that this function does take significantly longer than using an ID card.
 

How do I change the photos that appear on the Kiosk's screensaver?

The screensaver images that appear on a Kiosk can be customised to your school, and are a great way of advertising upcoming events, displaying artwork or photos from school productions, or simply displaying your school's logo. You can change and update these photos through the Administration Tools page in Compass, by selecting the 'Upload Kiosk Image' link.
