Timetabler Period Codes

Overview

When importing your timetable from Timetabler into Compass, the period codes in the Timetabler file must match those configured in Compass exactly.

Where the codes don't match what Compass has recorded in the configuration of your school's portal, the timetable file will not import correctly.

How to view and/or configure period codes in Compass

To view your Period Codes in Compass, navigate to the Tools menu (cog icon in the top right corner of the Compass portal) and select the Administration Tools page, then click on the Configure Schedules link.
In order to access the Administration Tools page in the Compass portal, staff will need to have the 'Configure' permission. For more information on Permissions and the management of these within Compass, please refer to the Knowledge Base article titled 'Permissions'.

From the list of Steps on the left-hand side of the page, select the Periods section. This will display a table of the current period names, codes, start and finish times that are recorded in Compass. You will need to check that the codes in the Timetabler file match the codes in your Compass portal in the highlighted column below.

     
Please note: the Period Codes that your school has assigned to each period don't need to match the image above, but whatever is listed in your school's portal must match the period codes in your Timetabler file. For example, you may have a period for yard duty allocations which has the code 'BS' rather than 'BBD' or 'AS' rather than 'ABD'.

Period codes in Compass should not include a 'P' (i.e. the code for Period 1 should be '1', never 'P1').
If the Period Codes in Compass don't match the Timetabler file, please amend the timetable file rather than the Compass portal settings. Changing the Period Codes in Compass will have ramifications which can cause issues for Attendance data and other exports and reports.

How to view and/or configure period codes in Timetabler (Version 8)

To view your period structure in Timetabler V8 you will need to open the program and select the Timetable Development Module tab, then click on the 'Parameters' button:
Please Note: If your school uses Timetabler V9 please go to the next section for required steps.

 
From the Timetable Tasks list on the right-hand side of the screen, select the Period Names and Codes option. This will bring up a table of the period names and cycle days.



Above this table you will see two radio buttons (as highlighted in the screenshot above). Clicking on each radio button will switch between the Period Names and Period Codes information.

You need to ensure that the codes specified in each cell on the Period Codes view, match with the period name in the corresponding cell on the Period Names view.
It is the Period Codes view that needs to match the codes configured in Compass as per the first section of this article.

Where changes are required, double click on the cell in question, then make the appropriate change in the pop up window, and click 'OK' to update.

You will also need to save the file using the appropriate option from the File menu in the Timetabler software.


How to view and/or configure period codes in Timetabler (Version 9)

To view your period structure in Timetabler V9 you will need to open the program and select the Timetable Development Module tab, then click on the 'Parameters' button:

     


From the Timetable Tasks list on the right-hand side of the screen, select the Period Details option from under the Parameters heading. This will bring up a table of the period names and cycle days. Above the table are a series of radio buttons with different ways of viewing the data, however the only ones you will need to access are Period names and Period codes as highlighted below:

     

You need to ensure that the codes specified in each cell on the Period codes view, match with the period name in the corresponding cell on the Period names view.
It is the Period codes view that needs to match the codes configured in Compass as per the first section of this article.

Where changes are required, double click on the cell in question, then make the appropriate change directly in the cell and press the 'Enter' key to move to the next cell. Changes will need to be saved using the options from the File menu in the Timetabler software.
