Standardising User Data

Overview

To ensure consistency with certain field content in user accounts, the 'Standardise Data' option in People Management allows you to bulk update discrepancies in data entry i.e. If you want references to a State to always be abbreviated you can update records that have the state listed as it's full name to the abbreviation (Victoria to VIC).

Permissions

To access the 'Standardise Data' option, staff will require the UserRecordsAdmin permission.

Standardising Data

Go to 'People Management' under the Organisation menu (grid icon).

Click 'Actions' and select 'Standardise Data'. 

This will take you to a pop-up in which you can choose which field/fields you want to standardise.

     

For the data you need to update, choose from the first drop down the non-standard data that you want to change.  In the second drop down, choose what the non-standard data needs to be updated to from the range of options available.

     

Click 'Add' to have this change added to the Change Summary section. 

     

Continue this process until you have all your intended changes showing in the Change Summary section.  If you need to remove a change from the summary, click the associated red cross icon.

Click 'Apply' to action the changes.

     

You will then see a warning on screen asking you to confirm that you want to proceed.

     

To proceed, type 'CONFIRM' in the box and click 'OK'.  To not proceed with the changes, click 'Cancel'.

If you proceed, you will see a message on screen when the changes have been completed successfully.
