Roll Flag Notification Alerts

Overview

Roll Flag notification alerts can be created and attached to any Custom Flag.  

Permissions

You may need to allocate additional permissions to manage Roll Flag Alerts in your Compass portal.

If you do not see the below functions in your portal please speak to your Compass manager, Sponsor, your school's IT Tech or contact Compass Support via the Cog icon.

These Individual permissions may need to be allocated to a Role Group in Permissions Manager to access some functions.

To create Chronicle templates: ChronicleConfigure
To manage Custom Flags: CustomFlagsAdmin

Set-up a notification template

You can use the following method to create email notification alerts.  The example given is for email notification alerts for Risk Management Plan (RMP) students.

Go to the 'Organisation' menu (grid icon) and select 'Chronicle'.

On the Chronicle page, click to the 'Administration' tab, then click the 'Templates' sub-tab.  Click 'Create Template' and a new template pop-up will open.

Name the Template, ie RMP Notification.

     

Select 'Roll Flag Alerts' for the School Category field.

     

Add a description for your school process.

     

Set the applicable template security options for your school.

     

Set the default staff and parent/student visibility per your school's requirements.

     

Click to 'Add Staff member' and type in the staff member names who will receive the notification alert.

     

For this template type, the notification mode is set to 'Notify Only' and cannot be modified.

     

Click 'Save Template and Close' and the new template will be created for use.

Connecting the notification template to a custom flag

Now that you have created the notification alert template, you can attach it to a specific custom flag.  To do so, go to the 'Organisation' menu (grid icon) and select 'Custom Flags'.  

Click the pencil icon of the Custom Flag you would like to associate to the Roll Flag Alert template.

     

In the Edit Roll Flag pop-up, click the dropdpwn button for the 'NP:U Chronicle Template' field and select the template you have created for this.  Then click 'Save'.

     

With this process set-up, when a teacher marks a class roll and the student with the associated Custom Flag is marked Not Present Unexplained, the staff in the Notification Chain of the associated Chronicle Template will be notified with an email alert.

Please Note:

 - If a student with the RMP Custom Flag has an attendance note explaining their absence or is marked Present in an Event or School Activity, staff will not be notified because they are explained elsewhere.

 - The Custom Flag Alert Notification for NP:U students will send the alert email if backdated rolls are marked.

 - The Custom Flag Alert Notification for NP:U students will trigger if an Intelligient roll is manually marked.

When setting up alerts of this nature, we recommend considering the following:

 - Flagging the alert email in your email provider to distinguish it from other Compass emails.
 - Set up your Chronicle Digest to subscribe to the Roll Flag Alerts category (if your school subscribes to that module).
 - Reviewing students attached to certain Custom Flags via the Custom Flags module.
