Printing Templates

Overview

Each Compass school has the ability to define a range of Printing Templates, which can comprise of a Header, Footer, School Logo and customised margins. These Printing Templates can then be applied to any PDF letter generated using Chronicle, such as Parent Account Information letters, Unexplained Absences letters, Wellbeing letters and Sickbay notifications.

Permissions

To set up Printing Templates you will need access to the Administration Tools menu (under the cog menu icon) and this requires the 'ConfigureBase' permission.

For assistance with permissions please speak with your school's Compass Sponsor.

Creating a Printing Template

To start, hover over the Tools menu (cog icon) > Administration Tools > Printing Templates

Click 'Add New Printing Template'.
     

In the 'Add Template' pop-up, you will begin with the 'Basic' tab.




Name:  Give the Printing Template a name that will be obvious to any other staff member who may need to select it at a later date. Some examples might be to name it after a particular letter type, the combination of header/footer included, an envelope size or left margin width; or perhaps you have a Junior and Senior Campus, each with different details.

Page Margins: These are in millimetres (mm). 

Header/Footer Only On First/Last Page: Checking this box will print the Header/Footer on the first page of the letter only. Leaving the box unchecked will cause the Header/Footer to fit on every page of a multi-page letter.


Now, move to the Header or Footer tab. These tabs include a range of formatting options, text size, text colour, symbols and lines.

When creating Headers and Footers, we recommend doing this directly in the editor window. However, if you wish to copy and paste your Header/Footer from another digital source, use the Paste button on the far left (clipboard icon with the Microsoft Word 'W' over it). This will remove any of the hidden formattings that Word typically includes when copying and pasting.

Include School Logo: Checking this box will add your school's logo to the left-hand side of the Header/Footer when the letter is generated. 

The logo is taken from your school logo files already uploaded to your portal, you can find these by navigating to Tools (cog menu)>Administration Tools>Update School Logos.
From here you can view the logos already uploaded, and update them as required.



Next, click on the Footer tab, you can use the same process to create a footer as you did to create the header.  You can leave this blank if you don't want a footer.
Click 'Update' after creating each header or footer to save your formatting. 


Once a Printing Template has been created, you can edit or duplicate it using the icons on the right-hand side. You can delete a template by selecting the Printing Template and then clicking on the 'Selected Printing Template' drop-down menu at the top of the window.

     

Applying a Printing Template to a Letter in Chronicle

Once you have created a Printing Template, you can now apply it to any letter in Chronicle.

Go to the Organisation menu (grid icon) > Chronicle.
Click on the Administration tab.

To access the Administration tab in Chronicle, you must have the ChronicleConfigure permission. If you do not have access to this tab, please see your Compass Sponsor to have the permission assigned to you.

Click on the Templates tab (1).
Select the template you wish to apply the Printing Template to (2), then click the edit button (pencil icon) at the right-hand side of that line (3).

     

Click the Communications tab (4). The Letter tab will then be automatically selected (5).
From the Printing Template drop-down menu, select your required Printing Template (6).




If you would like to preview the letter and check how the Header, Footer and margins will render as defined in your Printing Template, click 'Generate Sample Letter' (7).

Click 'Save Template and Close' (8).

Your selected Printing Template will now be applied to any letters that are generated via this Chronicle template.
