Managing Staff Phone Extensions

Overview

Staff phone extension data can be accessed by staff in the Staff Directory under the 'Community' menu.


     

When viewing the directory, staff will also have the option to download a pdf version.

Permissions

All staff are able to view the Staff Directory.

To edit the listed extensions for staff, you will require one of the following permissions:

ConfigureBase - Allows access to the Administration Tools menu where the the 'User Phone Extension Management' page is located.  On this page, staff extension details can be added/edited.

UserRecordsAdmin- Allows access to People Management.  From here, you can either access a specific staff member's user account to update their Phone Extension field or alternatively, you can access the 'Bulk Update Phone Extensions' page under the Actions menu and update multiple staff extensions.

Please Note: Editing a user's phone extension via either the 'User Phone Extension Management' page or the 'Bulk Update Phone Extensions' page will update the user's Compass account to reflect the new extension information.

Updating Staff Phone Extension Data via the User Phone Extension Management Page

Staff with the Configure permission, can go to 'Administration Tools' under the cog menu icon in the top right of the Compass screen.
In the listed menu, click 'User Phone Extension Management'.
     

Here you will see a list of all staff and their existing Phone Extension data.
     

To edit, locate the staff member (either by scrolling down the list or using the filter at the top of the list).
Click the 'Extension' field and enter the new information.
     

Click 'Enter' to update the cell.

Updating Staff Phone Extension Data via the Bulk Update Phone Extension Page

Staff with the UserRecordsAdmin permission can go to 'People Management' under the Organisation menu (grid icon).

Click the 'Tools' button and select 'Bulk Update Phone Extension'.
Here you will see a list of all staff and their Phone Extension data.

     

To edit, locate the user you need to update (either via scrolling through the list or using the filter option at the top of the list).
Click the 'Extension' field and enter the new information.
     

Click 'Enter' to update the cell.

Updating Staff Phone Extension Data via their User Account

Staff with the UserRecordsAdmin permission can update a staff member's Phone Extension data from within their user account.
To do so, go to 'People Management' under the Organisation menu (grid icon).

Locate the applicable staff member's user account and click the edit pencil icon to open it.

Click to the 'Staff' tab and update the information in the Phone Extension/Office Location fields.  Click 'Save' to update their user record.
